Overview

NQ64’s ’Hiring and Welcome’ bots work in conjunction with both new hire and enrollment processes, integrating 10+ different systems to create one unified onboarding experience for hiring managers and staff.

Bots in Action

NQ64’s bot is used by management to initiate the hiring process by capturing basic details and enrolling new employees in key systems like Workplace, Pay Captain, and Rota Ready. The new starter is then sent access keys and links to app downloads via an integration with Twilio.

Upon the new starters’ first time accessing Workplace, they are guided by NQ64’s Welcome Bot to confirm their details, set up profiles, and upload key documents. Contracts are generated automatically and sent via email to relevant bodies. Once onboarding is complete, new employees are introduced to their directors and line managers, and hiring managers can track their progress.

Impact

NQ64 has fully automated their hiring process and ensured that a range of different tasks and messaging are completed; including Pre-hiring tasks, New hire enrollment, Team introductions, Learning & Development, Payroll, Rota booking & HR Documents.

Over 10 different systems have been connected using The Bot Platform’s API to create one unified onboarding experience for hiring managers and new staff alike. This has helped to ensure there are no missing details of HMRC documentation while using ReTool has allowed hiring managers to use the bot as a HR tool for viewing new starter onboarding progress, completions and viewing user data.
